How to prepare a team for applying for tenders in Syria

Bid preparation for tenders in Syria is like any typical project. Suppliers should create a clear short planning document and issue it to all the team involved in the bid preparation task. The staff involved should know the scope and should have to follow a set process. The team should also know about the relevant deadlines.

The Bid Team
A bid team should have staff that can bring different perspectives and expertise to the formulation of the best solution and proposal documentation. The team has to play a number of key roles to create the blend and expertise needed for a successful proposal. The team has to perform the following roles:

Bid Manager – The team should have the authority to make key decisions because it has to undertake the entire process up to the bid submission. The entire team or staff in the team has to play the role of a manager.

Technical Experts – The team should have technical knowledge required to offer the services as required by the tender, so that they can bring expertise as well as new ideas.

The writers – People involved should be skilled at presenting clear technical and sales documentation. They should know their responsibilities. Once the draft document is complete, the team should review the document and make necessary changes.

Contributors – The team should have specialist contributors who can supply additional specialist information and knowledge to the proposal in areas like quality and financials.

Administrators – The staff has to play the role of administrators for formatting and collating of the proposal documentation.

Proofreader – The tone, flow and formatting of the proposal should be carefully checked. The reader must ensure that key themes and business strengths are included in the documentation. The proofreader ideally should not know technicalities of the solution and he should read the document as an ‘outsider’ and ensure that technical content is easily understood.

Fault Finder – The staff involved has to judge the bid, discuss and point out faults and suggest areas of improvement.
